We are looking to recruit an Administrator to be based out of our Madrid office who will be responsible for ensuring that daily reservations / bookings and related administration generated by the Iberia reservations teams is accurately and processed. Sending out the necessary paperwork to properties and guests and following up on payments, amendments and any other tasks as driven by the daily requirements of the business.
A flexible and willing approach is critically important to this role. Excellent verbal and written communication in Spanish and English skills are essential. You will be a confident, well presented individual who works well under pressure and who is able to work well as part of a team.
Reports to: Team Leader – Administration
Salary: Negotiable according to experience
Hours: 40 hours hours per week (on varying shift patterns between 09:00 hours and 19:00 hours)
Key responsibilities & objectives are detailed below; this list is not exhaustive and will encompass any ad-hoc management requests / projects as & when required.
•Ensure all administration tasks meet clients’/guests expectation to meet agreed standard operating procedures and meet service level guidelines and KPI’s
•Ensure global bookings are processed accurately to ensure bookings are completed to agreed standard operating procedures
•Responsibility for administration tasks and allocation as and when required.
•Processing credit card payments via PDQ/on-line terminal
•Checking and processing invoices
•Managing associated invoice and accounting queries/issues
•Providing written confirmations and check in details to clients within agreed service levels
•Proactively contacting other apartment providers for amendments to bookings, including extension’s shortening, or cancellation of a booking
•To take care of OTA’s; Booking.com, Expedia, Airbnb, etc. Updating availability, handle reservations, charging credit cards and inputting bookings into the system.
•To ensure escalated issues are forwarded to the appropriate department and/or dealt with satisfactorily for all parties
•Handling all correspondence and email communication in an effective and timely manner
•To flag up to the Team Leader – Reservations any processes that cause issues to the business or customers which may result in complaints, thinking of solutions to implement to avoid this
All other tasks as requested by the management team

Qualifications / Experience
At least six months' experience of working in an administration role
Excellent command of the Spanish and English language, including written & verbal communication
Portuguese language an advantage, not essential
Experienced with MS Office package (Word, Excel, PowerPoint, Outlook)
