Location: Spain, Estepona
Sector: Financial Services – UK FCA-regulated advisory firm

Role overview
This is a senior control-function role with direct accountability for the firm’s administration and operational framework. The Head of Administration will be responsible for ensuring that all administrative processes operate in line with FCA operational expectations, supporting advisers while maintaining regulatory discipline, data integrity and audit readiness.
This role exists to enforce standards, not react to issues after the fact.
Key responsibilities
• Own and lead the end-to-end administration function across client onboarding, servicing and adviser support
• Design, implement and maintain robust operational processes aligned to FCA SYSC requirements
• Ensure consistent, accurate and regulator-ready client files, records and MI
• Act as the primary operational interface with compliance and senior management
• Support compliance monitoring through file completeness, remediation tracking and evidencing of controls
• Oversee platform and provider administration processes, including instructions, valuations and servicing events
• Drive disciplined use of the CRM system, ensuring workflows, task management and data standards are adhered to
• Produce and maintain operational MI to evidence control, oversight and process effectiveness
• Recruit, manage and develop administration staff as the business grows
Essential experience
• Demonstrable experience within the UK financial services sector is mandatory
• Background in an FCA-regulated advice environment (investments, pensions, wealth management)
• Strong understanding of FCA operational expectations, including SYSC, record-keeping and governance support
• Proven experience running or materially contributing to an administration or operations function
• Comfortable operating in a regulated, process-driven environment with clear accountability
Systems and technology
• Strong CRM and workflow mindset with a focus on data quality and evidencing controls
• Confident managing digital document storage and secure client data in line with regulatory standards
Personal profile
• Highly structured, detail-driven and control-focused
• Comfortable setting standards and holding others to them
• Pragmatic problem solver with a process-first mindset
• Clear communicator able to work effectively with advisers, compliance and senior leadership
