About the Role
A confidential, principal-led international finance company is seeking an exceptional Executive Assistant to provide high-calibre support to its Principal across both professional and family commitments. This is a trusted, varied, and highly visible role for a calm, resourceful individual who can manage complex business priorities while ensuring that family and household logistics run smoothly.
The successful candidate will act as a reliable right hand to the Principal, protecting time, anticipating needs, and applying excellent judgement in an environment where discretion is essential. The position combines senior executive support with practical personal and family administration. It would suit an accomplished Executive Assistant, Personal Assistant, private-office professional, or family-office professional who is comfortable moving seamlessly between an international business schedule and a busy family life.
The role is hybrid and based in Benalmádena. It requires regular in-person support at the Principal’s office and/or residence, with remote working available when the duties of the role allow. It is therefore not a fully remote position. Candidates must be able to commute reliably to Benalmádena.
Key Responsibilities
- Executive support
Manage a demanding and frequently changing diary; schedule meetings, calls, video conferences, and appointments across multiple time zones; prepare agendas, briefing packs, correspondence, and action trackers; and ensure that commitments are followed through with precision.
- International travel
Organise complex international and domestic travel, including flights, accommodation, visas or travel documentation where applicable, ground transportation, meeting schedules, itineraries, and contingency arrangements. Accompany the Principal on business or family travel when required.
- Business administration
Coordinate confidently with senior colleagues, clients, advisers, investors, professional service providers, and external partners. Draft correspondence, maintain orderly records, support board, investor, or client-related logistics, and assist with ad hoc business projects and events.
- Confidential information
Handle sensitive business, financial, personal, and family information with absolute discretion. Maintain secure records and exercise sound judgement in all communications, document handling, and day-to-day decisions.
- Family and personal support
Coordinate family calendars, appointments, school and extracurricular arrangements, holidays, celebrations, reservations, and personal commitments. Liaise professionally and respectfully with family members, childcare providers, household staff, and trusted external suppliers.
- Household administration
Support the smooth operation of the household by coordinating suppliers, maintenance, deliveries, household paperwork, inventories, appointments, and service renewals. Proactively identify and resolve routine issues before they become urgent.
- Household vehicles
Drive authorised household vehicles for approved business, family, and household errands as necessary. Keep vehicles clean and presentable, arrange servicing and maintenance when required, comply with all road-safety and insurance requirements, and report any incident or concern immediately.
- Expenses and records
Maintain clear, accurate records of approved business and personal expenses, invoices, receipts, purchases, and supplier arrangements. Prepare information for review and reimbursement in line with agreed procedures.
- Problem-solving
Anticipate needs, manage competing priorities, resolve routine matters independently, and escalate promptly where the Principal’s judgement or approval is needed.
Skills and Experience
We welcome capable, motivated candidates who are building their career in executive, personal, or private-office support. Previous experience as an Executive Assistant, Personal Assistant, Office Administrator, Client Services Coordinator, Concierge, household-support professional, or in another high-service and confidential environment will be valued, but extensive senior-level experience is not essential. Strong organisation, discretion, initiative, driving capability, and a willingness to learn are as important as the length of prior experience.
RequirementWhat we are looking for
- Relevant experience
Some prior experience in administration, executive or personal support, client services, hospitality, concierge work, private households, or a similarly service-led environment is preferred. Experience in financial services or another confidential corporate setting is an advantage, but not essential.
- Organisation
Exceptional diary management, prioritisation, administration, document preparation, and attention to detail. You will be able to remain composed and effective when plans change at short notice.
- Travel coordination
Experience coordinating appointments, bookings, itineraries, or travel is helpful. Confidence using booking tools, attention to detail, and the ability to adapt when plans change are most important; support will be provided for the role’s more complex travel arrangements.
CommunicationExcellent written and spoken English, with the confidence to communicate professionally with senior stakeholders and household contacts. Spanish language skills are highly desirable.
- Technology
Strong working knowledge of Microsoft 365 or Google Workspace, calendars, video-conferencing tools, travel platforms, expense systems, and secure digital-file management.
- Driving
A valid driving licence, an excellent driving record, and eligibility to drive authorised household vehicles in Spain.
- Travel eligibility
The ability to travel internationally as required, with a valid passport and any necessary travel documentation.
- Right to work
The legal right to work in Spain.

Working Pattern and Flexibility
This is a full-time hybrid position based in Benalmádena. Standard working hours will be agreed, but flexibility is essential. The Principal runs an international business and has family commitments, so there will occasionally be a need to work outside conventional office hours, including early mornings, evenings, weekends, or during travel. These requirements will be reasonable, planned wherever possible, and managed in accordance with the employment agreement and applicable law.
International travel may be required at times, occasionally at short notice. All approved business travel and role-related expenses will be covered in accordance with the company’s procedures.
