Description
We are seeking a highly competent, bilingual Senior Property Conveyancing & Office Manager to lead our day-to-day office legal administrative operations. This hands-on leadership role is designed for a meticulous professional capable of managing a heavy caseload while organising and mentoring a dedicated team of assistants.
The successful candidate will take full charge of our real estate files, ensuring seamless transaction lifecycles from initial instruction to final registry filing, while supervising supplementary administrative service lines.
Key Responsibilities:
•Conveyancing Operations: Manage the complete lifecycle of residential property transactions (purchases, sales, and title transfers) for international clients. Conduct land registry searches (Notas Simples), clear complicated charges, review urban planning compliance with Town Halls, and prepare files thoroughly for the Notary.
•Office Framework & Team Leadership: Oversee the day-to-day office workflow, distribute case files, mentor administrative staff, maintain meticulous filing systems, and ensure consistent client service standards.
•Estate Administration Integration: Coordinate property transfers linked to cross-border inheritance files, applying relevant Valencian Community regional tax rules and preparing deeds under the guidance of our administrative templates.
•Bureaucratic Navigation: Act as the senior representative for the office at local public administrations, Tax Agencies (Hacienda/Suma), Notary offices, and Property Registries across the Alicante province.
Requirements & Qualifications:
•Experience: Minimum of 3–5 years of demonstrable, hands-on experience managing property conveyancing files within a Spanish legal firm, gestoría, or real estate consultancy in Spain.
•Languages: Native or professional bilingual fluency in both written and spoken English and Spanish is mandatory. You must be completely comfortable discussing legal concepts with English-speaking clients and administrative terminology with local authorities.
•Mobility & Logistics: Must possess a valid Spanish driver's licence and own a personal vehicle for regular (reimbursed) essential travel to local notaries, land registries, and public offices along the coast, although we also have a company vehicle which would be used where possible.
•Core Values: Exceptional organisational skills, high emotional intelligence when dealing with clients, a flexible and proactive approach to problem-solving, and a natural collaborative leadership style.
Desirable Extra Assets (Non-essential):
•Prior experience processing Spanish residency visa applications (Non-Lucrative Visas, Golden Visas, Digital Nomad structures) or managing general gestoría client submissions is highly regarded but not required.
